Print Client

The ESPM print client is available for download via a link provided in the initial ESPM invitation sent by the administrator. Administrators can also download the client anytime by navigating to the “Client Downloads” menu in the ESPM administrator portal. Additionally, administrators can resend an ESPM invitation to users if a new client becomes available. This article is designed to help you understand the various features of the ESPM client.

Prerequisite understanding: The administrator should be familiar with the ESPM invitation process.

The following references provide a brief explanation of the feature functionality:

Context: The ESPM client is composed of 3 tabs. The images below capture the [1] config (configuration) tab, [2] print tab, and the [3] print queue.

Config Tab

Reference 1: The client is automatically signed in when users click the provided invitation. Users should be cautious to avoid signing out of the client.

(Note: For users signing in through cloud directory services like Google Workspace or Azure Entra ID, refer to the advanced configuration for managing sign-in and sign-out conditions.)

Reference 2: The client displays the user account name. This name is commonly the first.lastname of the user. This reference should not be confused with the MFD User ID (Reference #3)

Reference 3: The MFD User ID is used when the ESPM administrator has set up username / password login. In this setup, users will use this ID to authenticate at the MFD.

Reference 4: The MFD Password is used when the ESPM administrator has enabled username / password login. Users will enter this password at the MFD to complete the authentication process.

Reference 5: The administrator can enable secure (pull) printing to a specific MFD. In this case, users will enter this value at the MFD to retrieve their document. Users should treat this value with the same care as a password.

Reference 6: The administrator can implement accounting codes for different departments. This value is set by the user and can be used to generate ESPM reports that track data by department.

Reference 7: The client version is periodically updated. This value identifies the version of the client in use and may be requested by the support team for troubleshooting.

Reference 8: Clients are specific to the operating system used on the desktop or laptop. This value may be requested by the support team to ensure compatibility or assist with troubleshooting.

Reference 9: ESPM features a unique functionality called “Quick Codes“, which allows administrators to grant temporary or immediate access to a specific MFD, bypassing the typical allocation process. For more details on how Quick Codes work, refer to the ESPM Administrator/User Guide.

Reference 10: ESPM uses a concept called “Delegation“, allowing administrators to make optional printers available to users. Users can then choose to allocate or deallocate these printers as needed.

Reference 11: ESPM can also discover non-Toshiba devices. These devices will appear in the user’s client if access has been granted.

Reference 12: Cloud print queues store print jobs in the cloud. They are displayed in the client in the same way as MFDs.

Reference 13: Toshiba MFDs allocated to the user will be displayed here.

Reference 14: The print queue area provides a real-time view of print job activity. Once a job is complete, this area will display “No active jobs.”

Recommendations: It is strongly recommended that users regularly refresh the client by clicking the refresh icon (the circular arrow). This will immediately display any new client updates or MFD allocations if they exist.
