Document Filing Settings

Document filing settings are described below.
Default Mode Settings
Specifies which mode, Sharing or Confidential, is used as the default mode when storing a file.
Sort Method Setting
Selects an order of display files stored in the Main Folder, Custom Folder, and Quick File Folder. Select one of the following settings:
  • File Name
  • User Name
  • Date
Administrator Authority Setting
For files and user folders that have a password, this setting allows the administrator password to be entered instead of the password when accessing the file or folder.
Administrator can change passwords as needed.
Delete All Quick Files
Deletes all files from the Quick File folder except for protected files.
Item Description
Delete Now Tap this key to start deletion of all files immediately.
Delete quick files at power up This is used to automatically delete all files in the Quick File Folder (with the exception of protected files) when the [POWER] button is turned "On".
Image Orientation
Changes the image orientation.
Default Color Mode Settings
Selects the default settings for black & white and color when Scan to HDD is used.
The following settings can be configured.
  • Auto
  • Full Color
  • 2 Color
  • Grayscale
  • Mono2
Default Exposure Settings
Default exposure settings for document filing can be configured.
Select [Auto] or [Manual].
If you select [Manual], set the exposure to one of 5 levels.
Default Original Image Type
Select the original type beforehand to enable scanning at a resolution suitable for the original.
The following settings can be configured.
  • Text/Printed Photo
  • Text/Photo
  • Text
  • Photo
  • Printed Photo
  • Map
No original type can be selected if the Initial Exposure Settings is set to [Auto].
Initial Resolution Settings
One of the following resolutions can be selected for the default resolution for transmission.
  • 100 × 100 dpi
  • 150 × 150 dpi
  • 200 × 200 dpi
  • 300 × 300 dpi
  • 400 × 400 dpi
  • 600 × 600 dpi
Scan Complete Sound Setting
Adjusts the volume of the beep that sounds when scanning ends. You can stop to sound it.
Default Output Tray
Selects the default output tray for printing a file stored by Scan to HDD.
The items that appear will vary depending the machine configuration.
Disabling Text/Stamp printing at Reprint
When a stored file is retrieved and printed, the printing functions are disabled.
This function prevents date inconsistencies between the original data, output data and others.
Batch Print Settings
When printing files by batch printing, this setting is used to prohibit the selection of the [All Users] key and the [User Unknown] key in the user selection screen.
Erase Width Adjustment
This is used to set the default erase width for erase function.
Specify a value from 0" (0 mm) to 1" (20 mm) in increments of 1/8" (1 mm) for both Edge Clearance Width and Center Clearance Width.
Card Shot Settings
This is used to set the default original size for the card shot function.
Specify a value from 1" (25 mm) to 8-1/2" (210 mm) in increments of 1/8" (1 mm) for both the X (horizontal) and Y (vertical) dimensions of the original.
When you set the [Fit to Store Size] checkbox to , the [Fit to Store Size] key is always displayed on the card shot screen.

Select whether or not to save or delete a file after printing.

Scan to External Memory Device Setting

Default Color Mode Settings
The default color mode can be set.
Setting the "Disable Change of B/W Setting in Auto Mode" checkbox to disables black & white settings from the base screen when the color mode is set to Auto.

Auto (Mono2, Grayscale*), Full Color, Grayscale, Mono 2

Initial File Format Setting
You can set the initial file format to be saved in an external memory device.
File Format
PDF, PDF/A, TIFF, JPEG*1, Compact PDF*2, 5, Compact PDF (Ultra Fine)*2, 5, Compact PDF/A*4, Compact PDF/A (Ultra Fine)*4, Encrypt PDF, Encrypt/Compact PDF*3, 5, Encrypt/Compact PDF (Ultra Fine)*3, 5, XPS
*1  When [B/W] is selected, the format is [TIFF].
*2  When [B/W] is selected, the format is [PDF].

Compression Mode: None, MH (G3), MMR (G4)
Color/Grayscale
Compression Ratio: Low, Medium, High.
Bk Letter Emphasis
Specified Pages per File
Generates a separate file for each scanned page when multiple pages are scanned.
If this setting is enabled, a number of pages per file can be specified.
When "JPEG" is selected for the file type, [Specified Pages per File] cannot be selected.
Default Exposure Settings
Default exposure settings for storing an original in an external memory device can be configured.
Select [Auto] or [Manual].
If you select [Manual], set the exposure to one of 5 levels.

Disable Storing to External Memory Device
Storing to external memory device is disabled.

Default Setting of PDF Format for PC Browsing

You can set the initial file format of public PDF that is created when each job is executed.
B/W
Compression Mode: None, MH (G3), MMR (G4)
Color/Grayscale
Compression Ratio: Low, Medium, High
Copy, Printer, Scanner, Scan to HDD
Select [Enable] and select the desired resolution. Set the [Apply the resolution at job execution] checkbox to to create a PDF for PC browsing with the resolution when each job is executed.

Document Output Options

The use of a stored file can be allowed or prohibited by operation type and by the mode from which the file was stored.
Item Description
Print For each mode, select whether or not printing of stored files is allowed.
The items that appear will vary depending on the functions that have been added to the machine.

Automatic Deletion of File Settings

Time and folder settings can be configured to have files in specified folders (stored by document filing) automatically deleted at a specified time. Up to 3 settings can be stored to be automatically deleted.
The procedure for using this function is as follows:
(1) Select one of [Setting 1] to [Setting 3].
(2) Set the time and date of automatic deletion.
(3) Select the desired folder.
(4) Specify whether or not to delete protected files and confidential files.
(5) Enable the stored settings.
Item Description
Schedule Select an automatic deletion cycle.
  • Every Day: Auto deletion every day at the specified time.
  • Every Week: Auto deletion at the specified time on the specified day of the week.
  • Every Month: Auto deletion at the specified time on the specified day of the month.
Folders To select the folder separately, select [Folder Select] and select the desired folder. To select all folders, including the folder currently being created, select [All Folders (Including folders registered hereafter)].
Delete Protected File Enable this setting to include protected files in the deletion.
Delete Confidential File Enable this setting to include confidential files in the deletion.
Delete Now
When this is executed with a folder selected, all files in the folder will be immediately deleted regardless of the date and time setting.
Delete files at a specified time. (If this option is not selected, files are deleted when the machine has restarted in the auto power shut-off mode.)
Files are deleted at a specified time even when Auto Power Shut-Off is enabled. If the checkbox is set to , files are deleted when the machine restarts after auto power shut-off.
